This guide explains how to add or update a payment method for a customer’s active subscription, including how to remove expired cards and ensure the correct card is linked to upcoming jobs for automatic payments.
Step 1: Open the job details for the customer who needs to update their card.
Example: Locate the job (e.g., Bon Jovi) currently in progress on the schedule or route.
Step 2: In the Payment Method section, check if there is already a card on file.
If a valid card appears, verify that it’s still active and correct.
If the customer’s card is expired or needs to be changed, proceed to the next steps.
Step 3: To add a new card, click “New” and enter the following details:
Card Number
Expiration Date
Security Code (CVC)
Billing ZIP Code
(Optional) Card Name or Description
Step 4: Save the new card information.
If there are any missing or invalid fields, an error message will prompt you to fix them before saving.
Step 5: Remove the old or expired card to avoid future billing errors.
Go to the customer’s Payment Methods tab.
Select the outdated card and delete or deactivate it.
This ensures only the active payment method remains on file.
Step 6: Go to the customer’s next upcoming job.
Verify that the newly added card appears automatically in the payment drop-down menu.
If it does not, click the drop-down and manually select the correct card to attach it to that job.
Notes: Common Mistakes to Avoid
⚠️ Not removing expired cards: Leaving old cards on file can cause failed auto-charges or confusion about which card is active.
⚠️ Forgetting to assign the new card to future jobs: Even after adding the card, you must confirm it’s linked to upcoming scheduled cleanings.
⚠️ Skipping the save step: If the “Save” button isn’t clicked after entering the new card, the information won’t be stored.
⚠️ Entering incomplete card details: Missing expiration or ZIP code fields will trigger an error message and prevent saving.
⚠️ Updating during an active job: Always verify payment updates are applied before or after job processing to avoid charge disruptions.
