This guide shows how to complete your daily audit by reviewing yesterday’s schedule, fixing missing clock-ins/outs, confirming job status, checking payments, and preparing tomorrow’s schedule so all jobs are properly assigned and ready for your cleaners.
BONUS: Here is a daily checklist for you to use as a guide also! (make a copy in your google drive for your company to use)
1. Review Yesterday’s Schedule
-
Go to yesterday’s date on the schedule/map view.
White dots = job completed.
Red dots = job is late or incomplete.
-
Check indicators at the bottom of the screen:
Completed / Assigned statuses
How many jobs each employee completed
-
Look for issues:
Example: 0/1 jobs completed
Red clock icon = cleaner did not clock out
Assigned but not completed = job needs manual completion
-
Switch to Cleaner View to confirm:
Did the cleaner press the final “complete” steps?
If hourly staff fail to clock out, you must adjust their time manually.
-
If a cleaner forgot their phone:
Manually log their time
Manually complete their job
Complete any leftover jobs to correct the red indicators.
2. Handle Tips, Extra Time Requests & Map Indicators
Check if any tips need verification—they will appear automatically.
Check for extra time requests awaiting approval.
Review the map legend to understand dot colors and route codes.
3. Verify Job Details in the Job List
Go to Jobs.
Filter by yesterday’s date → Search.
-
Review job list:
Cancelled jobs (won’t appear on map)
Invoicing status
Payment status
Payroll status
-
Identify incomplete jobs:
Red job = assigned, not completed
Payroll pending = no clock-in/out
-
Open the job to view:
Assigned technicians
Formula payout
Job timeline and missing actions
-
Manually complete the job if needed:
Status will update immediately
Payroll status updates to completed
4. Review Yesterday’s Payments
Go to Payments.
Filter by Yesterday.
-
Understand payment statuses:
Canceled → No charge
Invoicing → Customer must be emailed an invoice
Paid (Stripe) → Auto-charge completed, customer tipped via text link
Invoice sent → Waiting on customer payment
Unpaid → Usually tied to incomplete job
-
Review Stripe errors if any:
Invalid card number
Incorrect ZIP
Insufficient funds
Confirm payment completion to ensure payroll and reports stay accurate.
5. Check Today’s Morning Audit
Switch to Today’s date.
-
Review assignment indicators:
Green dots = correctly assigned
Red clocks = technician did not clock in yet
-
If cleaners haven't clocked in by midday:
Reach out to the technicians
-
Confirm jobs are visible on their phones:
Green = visible and assigned
6. Prepare Tomorrow’s Schedule (End-of-Day Check)
At the end of the day, switch to tomorrow's date.
-
Verify job readiness:
Example: “4 out of 5 assigned”
Blue dot = projected job (previous cycle not completed)
-
Check previous recurring job:
For weekly jobs, look at the last occurrence
Purple = job going into overtime / not finished
Complete the previous job if needed so tomorrow’s becomes green.
-
After completing it:
Refresh the page
Tomorrow’s jobs should now show green (assigned & ready).
-
Check clock-in status for current day:
Red clocks = missing clock-ins (may require follow-up)
7. Review Capacity for Tomorrow
-
Look at the bottom panel for:
Total technician hours available
Total jobs scheduled
-
Example:
45 available hours
22.50 hours scheduled
Deep clean request for tomorrow? → Yes, you have capacity
-
Check time slots:
Morning availability
Afternoon availability
Check team schedule view for overlaps or gaps.
Notes
White = completed, Red = incomplete/late, Green = assigned, Purple = overtime, Blue = projected.
Always complete missing clock-ins/outs to ensure correct payroll and auto-charges.
End-of-day review prevents morning chaos and ensures cleaners have all assignments visible.
Payment errors must be resolved before payroll.
