Step-by-Step: How to Assign or Rearrange Users on a Team
Go to the Schedule for the Desired Day
Open the schedule and select the date you want to edit (example: Friday, 10/4).
This view lets you see all teams and which users are already assigned.
Check Available Users
Review the list to see which users are already on teams and which ones are unassigned.
Example: Shelly is unassigned and available to be placed on a team.
Assign a User to a Team (Day-Only or Permanent)
Select the available user and choose whether to:
Assign for this day only (temporary).
Add permanently (applies to all future schedules).
Example: Assign Shelly to work with Holly for this day only.
Reassign Existing Users by Drag-and-Drop
If a user is already on a team but needs to be moved:
Drag their name to another team.
Example: Drag Holly from her current team and drop her with George Strait.
Confirm whether it’s a temporary (this day only) change or a permanent one.
Add New Users From the Board
If a user isn’t assigned to any team, you can add them directly from the schedule board.
Example: Assign Abram to a team just for the day.
Make Permanent Changes When Needed
If you want two users to always work together:
Assign them and choose Permanent.
Example: Move Herman to work with Myra and mark it permanent.
Future days (Saturday, Monday, etc.) will automatically keep this pairing.
Temporary Multi-Day Adjustments
If a user will be out for several days (e.g., sick leave):
Replace them with another user.
Set the change as temporary through a date range (e.g., until 10/11).
After the range ends, the schedule will revert back to the original setup.
Remove a User from a Team for a Day
If a user calls out (e.g., Holly sick today):
Remove them from the team.
Either assign an unassigned user or drag another user in as a replacement.
Mark as day only if it’s a single-day change.
Confirm Changes on the Schedule Board
Always verify after making adjustments.
Check that:
The right users are paired.
Hours and assignments look balanced.
Permanent changes appear on upcoming days.
