How to create a new job (One Time or Recurring) for a Customer
SOP: Entering a Job into the System
1. Start Job Entry
Select the customer (e.g., Janet Jackson at 206 Rand Road).
Choose the service type (e.g., Deep Clean) from the preset options.
If applicable, select the rotation schedule (weekly, bi-weekly, etc.).
If you’ve set up a pricing sheet, the system will suggest a time and price.
You can customize both if needed.
2. Fill in Job Details
Date & Time: Choose the scheduled day and time slot.
Square Footage: Auto-filled if already in the profile.
Property Key: Enter site-specific key info (e.g., Key Red 32).
Do not confuse with entry instructions—those go in their own field.
Flexible Schedule: Mark if the customer is open to schedule changes (helps when rearranging jobs).
One-Time Change: Typically not used during initial entry—reserved for later adjustments.
3. Monetary Section
Apply discounts if applicable (mark as one-time if needed).
Record referral source (e.g., spring promo, client referral).
4. Payment Setup
Enter credit card details (covered in a separate training).
Choose billing type: Auto-charge, invoice, check, etc.
Optionally disable auto-charge if customer prefers another method.
5. Notes & Instructions
Entry Notes: Provide access instructions (e.g., gate code, alarm info).
Cleaning Notes: Detailed cleaning requirements.
Best practice: Enter in English and Spanish for bilingual staff.
Customer Preferences: Standing requests (e.g., “always check baseboards”).
Internal Notes: For admins only (e.g., “only send Shelly,” “notify client if tech changes”).
Not visible to cleaners.
6. Save & Verify
Click Save. Confirm with “Are you sure?” → select Yes.
Watch for the confirmation message: Job scheduled successfully.
To double-check:
Click Back to Customer.
Confirm the job appears in the customer’s profile.
Reopen the job form if edits are needed.
