This guide walks through converting a previously sent recurring quote into a booked weekly job, collecting notes, setting pricing, linking Stripe, and confirming scheduling details.
1. Locate the Customer & Quote
Search for the lead (e.g., "Holly Test").
Open the quote they are accepting.
If needed, adjust back to weekly or the correct frequency before booking.
2. Enter or Confirm Address & Home Details
Add or select the address (e.g., 100 Carroll Avenue).
System repopulates square footage automatically.
Cross-check square footage against what was quoted.
If size is different, send a revised quote or confirm updated price verbally.
3. Confirm Pricing & Service Frequency
Example: $180 weekly.
If offering a promo, apply a first-service discount (e.g., $25 off first cleaning, then returns to $180).
Confirm arrival window (e.g., 12–4 PM flex).
4. Collect Scheduling & Cleaning Notes
Ask entry details and whether the client will be home.
Add specific notes such as:
Hates cobwebs
Has cats
Clean office first
Flexible schedule but after 10 AM only
Add internal scheduler notes if needed.
Ask if any add-on services should be included now or in the future.
5. Link to Stripe for Billing Setup
Click Link to Stripe to generate the Stripe ID.
Do this even if customer pays via check—Stripe ID is required to generate invoices.
Optionally store card on file if provided.
6. Convert Quote to Job
Set rotation schedule if using rotation logic.
Click Convert to Job.
Job will populate on the calendar automatically.
7. Verify Job on Calendar
Navigate to the start date (e.g., May 8).
Confirm the new weekly job appears on the schedule.
Notes / Watch-Outs
Always verify square footage before confirming price.
Linking to Stripe is required for invoicing even if not billing by card.
Scheduler notes should be specific and actionable (arrival rules, pet info, room priorities).
Apply first-clean discounts only to the first visit, not recurring rates.
Ensure the correct service frequency template is selected before converting.
