This guide explains how to assign follow-up activities to leads after sending a quote, track them through follow-up stages (Day 1, Day 2, etc.), and mark them complete so the lead progresses through the pipeline.
1. Send the Quote to the Lead
Example lead: Carrie
Quote may come from form submission or manual entry.
Once sent, the lead automatically moves to Day 1 follow-up.
2. Create an Activity for Follow-Up
Click Add Activity on the lead.
Choose type (call, text, email, or general "follow-up").
Set the due date (e.g., today or tomorrow).
This logs a task without moving them out of Day 1 yet.
3. View and Complete Activities
Go to the activity list (filter by due date).
Open the task and complete the action.
Mark the task as completed when done.
4. Lead Automatically Moves to Next Stage
Completing the activity shifts the lead from Day 1 → Day 2, etc.
Repeat by adding a new activity for each follow-up day.
5. Continue Follow-Up Cadence
Recommended schedule: Day 1, 2, 3, 4, 5, 7, 10, 18, 30.
After long-term aging, move to closed or "lost" status.
Notes / Watch-Outs
Sending the quote automatically triggers Day 1—don’t forget to add the activity.
A green indicator shows that an activity is scheduled; check for overdue tasks.
Activities do not move leads automatically unless marked complete.
Aim to send quotes within 5 minutes of inquiry and begin same-day follow-up.
Check multiple overdue activities on long-aged leads to clean up the pipeline.
